Give every version one business purpose: appointment reminder, order update, payment confirmation, or consent renewal. Variables need sensible examples and must not replace material content that hides the purpose of the message. If information is urgent, do not disguise marketing as a service notification.

Rather than repeatedly editing one template, manage a version queue with owner, date, status, and reason. After approval, send an internal example and verify that the system inserts correct values. Template approval then becomes part of content control, not an obstacle to bypass.
