Lead Management

Stop Losing Leads Between the Form and the Follow-Up

Most leads are not lost to competitors, they are lost to a spreadsheet nobody opened on Thursday. I build the system that catches every enquiry from every source, routes it to the right person, chases it on a schedule, and tells you honestly which source is actually worth the money.

Key takeaways

  • Speed of first response predicts conversion more than anything else in the pipeline. Automate that before anything else.
  • A lead with no owner and no next action is already lost. Routing and a scheduled chase are the whole system.
  • Capture the source on the lead itself, or you will never know which channel pays and which one you are subsidising.
  • Feeding won deals back to the ad platforms is what turns reporting into cheaper acquisition.

What I build

  • Capture from web forms, WhatsApp, phone, email and paid campaigns in one place
  • Automatic routing by territory, service or availability
  • Instant first response, then a scheduled follow-up sequence
  • Duplicate detection so the same person is not worked twice
  • Source and campaign attribution stored on the lead record
  • Won-deal feedback to Google Ads and Meta for cheaper acquisition

How it works

  1. A short scoping call

What hurts today, what you already use, and what "done" looks like.

  2. A written fixed-price quote

Scope, price and timeline in writing, approved before any work starts.

  3. Built in stages, on your real data

You see a working first version early, not a demo at the end.

  4. Handover with documentation and monitoring

You own the code and the data, and a support window follows launch.

Working with me from the US or Europe

  • Most of my client work is for companies in the US, UK, Germany, the Netherlands and Australia.
  • Calls are in English and scheduled in your time zone. My working day covers most of the European one and the US East Coast morning.
  • A fixed price in US dollars, agreed in writing before any work starts.
  • Pay me directly, or hire me through Upwork if you prefer to work through a platform.
  • You own the code and the data, with documentation and a support window after launch.

Frequently asked questions

How is this different from a CRM?

A lead management system is the front half of one: capture, routing, response and chasing, ending at the moment a lead becomes a real opportunity. If you also need quotes, deals, invoicing history and long-term account records, you want the full custom CRM instead - and I would build one system, not two.

We already use a spreadsheet. Is that really a problem?

It is fine until two people edit at once, until a lead arrives at 22:00 with nobody watching, or until you need to know which campaign produced the customer who signed. Those three moments are usually what triggers the call.

Can it message leads on WhatsApp?

Yes, through the official Cloud API and within its rules - an approved template outside the 24-hour window, free text inside it, opt-out honoured. That is a separate build in its own right and it is described on the WhatsApp page.
