A large sheet does not always need replacement, but certain signs show that its role changed: slow loading, formulas across full columns, users waiting on locks, or a report altering source data. Before migration, remove redundant copies and measure which ranges are truly needed.

Separate intake, source data, calculation, and reporting. Reduce volatile formulas, move heavy calculations to a scheduled process, and export closed history. If the operation needs concurrent writes, row permissions, customer search, or consistency across actions, consider a database as source of truth.

A good decision defines what remains in the sheet, for example an operations screen and manager summary rather than all business history. The team keeps Sheets flexibility without building its most sensitive work on it.
