Retain an ID, movement type, source, time, and product for every inventory movement. Available stock is calculated by documented rules, not manually written in two systems. During an outage, show a safe state: stop sale of a product or show fulfilment pending staff review rather than promising stock that is not there.
Reconcile store, website, and warehouse daily and investigate by movement, not only final quantity. The discrepancy identifies whether the cause is intake, return, cancellation, or sync. That is the foundation before choosing a plug-in or a new inventory system.
