Onboarding fails when each department receives a separate email. HR needs information, IT needs access and equipment, the manager needs a training plan, and payroll needs verified data. A shared task list should state what is collected, who sees it, and when access may open.
Trigger the process by start date and role, not a generic form. Every task has owner, deadline, and completion evidence, such as account created or equipment delivered. Personal and sensitive data remain in a limited-access location, not an open queue attachment.
At the end of the first week, collect missing tasks and improve the template. Good onboarding creates minimum necessary access, not everyone gets everything on day one. Job change or departure should trigger a parallel process for removing access and returning equipment.
