A digital client file is not a folder named after the client containing every file. When quotes, contracts, identity documents, correspondence, and collections documents are mixed, information is hard to find and access is hard to limit. Start with document types and the business need for each.
Define a folder or record with client ID, category, date, owner, version, access level, and review or deletion date. A file arriving by email goes to the file with a CRM link; it does not remain as a representative's private copy. Consistent file names help, but metadata and permissions matter more.
Periodically review users with broad access, duplicate clients, and documents beyond their assigned retention time. Privacy and record retention must fit the business's duties and applicable law, not only team convenience.
