A building committee must distinguish unit, owner, tenant, debt, and vendor. When everyone works in one sheet, one tenant’s payment may be recorded against another unit and supplier quotes remain in WhatsApp. Create a property or unit ID and link charges, payments, requests, and communications to it.
A vendor quote receives date, work area, amount, documents, and approval under agreed procedures. A maintenance request gets status, priority, and owner, and residents receive only necessary updates. The payment ledger retains date, amount, method, and document, not full card or bank details.
A periodic report should show balance, expected expenses, debt, and open requests. Transparency does not mean every resident gets access to all neighbours’ personal information.
