Google Sheets Quota Exceeded: When a Spreadsheet Becomes an Unstable Database

A quota-exceeded message is a sign that one spreadsheet is serving as user interface, database, and automation engine. When people, formulas, and workflows all write to the same sheet, each small action can trigger recalculation and consume request quota.

Replace cell-by-cell writes with batch writes, read only required ranges, and separate an intake sheet from formula-heavy reports. A process that detects a new row should mark it with a stable identifier and status, not rely on a row number that changes after sorting. Document the sole permitted writer for every range as well.

If the business needs long history, complex permissions, fast search, or transactions, move source data to a database and retain Sheets for operations and reporting. A temporary quota increase does not resolve unclear ownership of data.
