Gym Membership: Subscription, Freeze, Cancellation, and Collection in One Customer State

In a fitness club, active is not enough. A membership may be frozen, awaiting approval, overdue, cancelled on a future date, or granted limited access.

In a fitness club, active is not enough. A membership may be frozen, awaiting approval, overdue, cancelled on a future date, or granted limited access. If app, reception, and collections hold different states, customers call to ask why entry was blocked or billing continued.

For every change, retain request, start date, end date, approver, supporting document or communication, and billing rule. A freeze does not erase membership, and cancellation does not erase billing history. A state change updates access only after the business rule has run.

An exceptions report shows memberships with access without billing, billing after cancellation date, and expired freezes. Cancellation and collections terms must align with agreement and law; the system records and alerts rather than interpreting rights.
