Automatic Supplier Verification: Withholding Tax, VAT Registration and Company Registry in One Flow

“One call” sounds simple, but supplier verification contains three different questions: is this the legal entity the business contracted with, what information may be checked before payment, and what does each source actually prove? A withholding-tax result is not a substitute for bank-account validation, and company-registry information does not replace an accounting approval.

Start with one supplier-control screen that shows the identifier used to create the supplier, the source of each check, check time, result, and exception approver. Only after these definitions are in place should you determine whether each source can legally and technically join the same workflow.

Build a control map, not a blind connection

For every supplier, define a base identifier, the name used in the agreement and source records, a recheck policy where relevant, a link to the minimum necessary evidence, and an exception rule: stop payment, manager approval, or request a document from the supplier.

Automation saves work only when access to every source is authorized and documented. When a source does not offer an approved automated route, leave it as a manual control step. Do not bypass it through an employee account or unauthorized collection.
