How to Produce a Uniform-Format File When Your System Does Not Support It

A system without a “uniform format export” button does not automatically require an ERP replacement or years of manual copying. First establish whether the required data already exists: customer and supplier cards, journal entries, documents, VAT values, dates, and identifiers. Only then design the export.

The common mistake is to assemble a one-off Excel file. It may solve one request, but it creates a difficult audit problem later: no one can prove where each field came from, who changed it, or whether the next file will be produced consistently.

Build a controlled export pipeline

Start with a gap map. Take the current specification, assign every field to its source in the legacy system, and identify missing or invalid values. Then build a read-only process that produces the file from defined source data, not from a chain of spreadsheets.

The process should include a period check, opening and closing balance review, an exception report for unmapped or missing required data, an export run number, date, mapping version, and the ability to reproduce the same period with an explained result. Test representative files before operational use.

Adapter or system replacement?

An export adapter fits when the current system still manages the business well and the problem is mainly the required export. When permissions, audit history, bank reconciliation, and core reporting are also missing, an adapter is only a patch. Decide from a written gap list and maintenance cost, not from the file request alone.
