A mortgage file includes financial and personal documents, so “send me everything in WhatsApp” is not a controlled process. Begin with a requirements list by client type or stage, explaining why each document is needed, its date, and a secure upload route where possible.

Every document has a state: required, received, unreadable, outdated, reviewed, or missing. Staff see status without necessarily seeing all content. Customer reminders identify what is missing without attaching sensitive information. When a document is replaced, retain its version and mark which version was reviewed.

The system can reduce document chasing, but it does not approve eligibility, credit terms, or financial recommendations. Those remain in the professional process and responsibility of the authorised adviser.
