A CRM becomes another place where information gets stuck when nobody defines what enters, what exits, and who may change a status. Before connecting forms, WhatsApp, quotes, or service systems, build a short status dictionary with no ambiguity: new lead, contacted, waiting for customer, qualified, closed won, and closed lost.

Good automation does not mark a lead “handled” because an email was sent. It creates an activity, task, and owner, then changes status only from an event that proves progress: customer response, scheduled meeting, or representative decision.

Every connection needs a duplicate rule: how is the same person who submits twice identified, how is the inquiry connected to campaign source, and when is a new deal created instead of overwriting an existing inquiry?
