A PDF order may be digital text, a scan, a photograph, or a document with complex tables. Automatic extraction should therefore not create an approved order immediately. It creates a draft with extracted values, confidence or exception, and a link to the original document.

Define required fields: customer, order number, item, quantity, price, address, and delivery terms. Any missing field or mismatch with a customer record blocks fulfilment and appears in a review queue. Retain source file and captured version so a correction can be explained.

Measure correction rate by supplier and document type. If one supplier sends a different format every time, the answer may be a form or agreed format, not another extraction model. Good automation reduces typing while making uncertainty visible.
