What Is Zapier? A Beginner's Guide to Zaps, Tasks and Your First Automation

Zapier is a no-code automation platform that connects web apps so that an event in one app automatically triggers work in others. Each automation is called a Zap: one trigger (for example, a new form response) followed by one or more actions (add a row to Google Sheets, send an email). Zapier lists more than 9,000 connected apps.

What is a Zap made of?

A Zapier Zap has two kinds of steps, and knowing which is which is what makes the pricing make sense.

  • Trigger - the event that starts the Zap, always step one. "New response in Google Forms" or "new lead in Facebook Lead Ads" are triggers.
  • Action - the work the Zap does after the trigger: create a row, send an email, update a contact.
  • Built-in tools - steps Zapier provides itself: Filter (continue only if a condition is true), Paths (if A do X, if B do Y), Formatter (clean up dates, names, phone numbers), Delay and Looping.
  • Two-step vs multi-step - a two-step Zap is one trigger and one action. Anything longer is a multi-step Zap, which is not available on the Free plan.

Paths is not available on the Free plan. A Paths step can be nested inside a branch, up to three levels of path groups in one Zap, and the branches run left to right as their rules are met.

How does Zapier count tasks?

A Zapier task is one successful action step. The trigger never counts, even though a polling trigger checks your app thousands of times a month. Zapier's own example: a Zap polling every two minutes makes over 20,000 checks a month and none of them is billed.

Zapier's help center walks through the arithmetic: a Zap that creates a contact, filters, formats a name and then sends an email uses 2 tasks when it passes the filter and 1 when it stops there. At 200 runs a month with half passing, that is 300 tasks.

How often does Zapier check for new data?

A Zapier trigger is either polling or instant. A polling trigger asks the app for new data at a fixed interval that depends on your plan; an instant trigger is pushed to Zapier by the app the moment the event happens, on every plan. Per the pricing page, as of September 2026:

  • Free - polling every 15 minutes
  • Professional - every 2 minutes
  • Team and Enterprise - every 1 minute

If a lead has to reach a salesperson within a minute, pick a trigger labelled Instant rather than paying for a faster poll.

Paid plans include pay-per-task billing: past the limit, runs keep going and the extra tasks are billed at 1.25x the plan's task rate on annual plans and 2.5x on monthly plans, up to a ceiling of 3x the plan's task limit. Without pay-per-task, Zapier holds new runs until the billing cycle resets and emails you at 80% and 100% of the limit. New accounts get a 14-day Professional trial with no credit card.

Your first Zap: website form to Google Sheets and an email alert

A typical first Zap for an Israeli small business logs every lead from the website and alerts the owner. With three steps it is a multi-step Zap, so it needs Professional or the trial.

  1. Pick the trigger. Choose your form app (Google Forms, Jotform and Typeform all have one) and its new-response event. Connect the account and pull a test response.
  2. Add a Formatter step (optional). Normalise the phone number or split a full name. It does not use a task.
  3. Add the Google Sheets action. Choose the spreadsheet and worksheet, then map each form field to a column: name, phone, email, source page, timestamp.
  4. Add the Gmail action. Send yourself an email with the lead's details in the subject line, so the phone shows it without opening the message.
  5. Test every step, then publish. Submit a real response and check that the row and the email both arrived.

That Zap uses 2 tasks per lead: 300 leads a month is 600 tasks, inside Professional's 750. A WhatsApp step is possible through the WhatsApp Business app (a Premium app), with one limit: a freeform message can only be sent within 24 hours of the recipient's last message to you, so a first message to a new lead has to be an approved template. That step adds another task per lead.

When is Zapier no longer the right tool?

Zapier stops fitting when the task count, not the setup, becomes the cost, or when the logic outgrows the editor. Watch for these signs:

  • Volume multiplies tasks: 5 action steps on 2,000 orders a month is 10,000 tasks.
