In a clinic, appointment, arrival, treatment, consent, billing, and reminder are not five unrelated processes. When each is recorded elsewhere, reception sees an appointment, the practitioner sees treatment, and finance later discovers there is no reconciliation.
Start with one appointment ID. It is created at booking, attached to the reminder, opened at arrival, linked to the relevant form, and reaches billing only after the defined status is complete. For cancellation or no-show, the system must know whether to cancel a charge, collect a cancellation fee, or offer a replacement appointment rather than leave a free-text note.
Because the flow contains sensitive data, design role-based access: reception sees scheduling data, practitioners see appropriate professional information, and collections sees only necessary financial data. Confirm product-specific connection options with the provider.
