Before uploading customer data to an AI tool, do not ask only whether the business has an account. Map which fields are sent, for what purpose, to which provider, who is authorised, where logs are retained, and what happens if a customer asks for clarification or deletion. Remove fields unnecessary for the task, such as full ID where an internal identifier is enough.
Review provider contract, account settings, third-party transfers, permissions, retention periods, and ability to document. Identify whether privacy law or particular agreements require additional review. A data-use decision should not sit with one developer or marketing team.
