Define a response vocabulary, a representative route for ambiguous replies, and a closing date after which only authorised staff alter the list. The message should identify the event, date, and simple action while respecting contact preferences. Do not promise a seat or benefit before business rules are checked.
The organiser report separates confirmed, declined, pending, and review-needed responses. Decisions about meals, seating, and reminders can then be made without manually counting messages.
