Use states: new, awaiting details, awaiting price, approved, sent, cancelled. Only an authorised employee or process moves an order to approved after checking item, quantity, address, price, and payment. Customer confirmation should show the summary and invite correction before fulfilment.

Do not place sensitive conversation content in a report open to everyone. Keep only information required for fulfilment with role-based access. WhatsApp remains convenient, but it does not replace order management.
