Base your system on an internal payment-request ID, not a screenshot or sender name. The request contains customer, amount, expiry, reason, and status. When confirmation arrives through the authorized route, update the request and trigger the next action - receipt, order opening, or debt closure - exactly once.
If no documented automated route fits the account, do not promise a “connection.” Build a manual reconciliation screen that shows open requests and lets staff link a receipt with evidence. That is safer than automation that marks a customer paid because a similar name appeared in a transaction.
